  • Proactively managing the Executive Director’s busy and ever-changing diary and schedule; arranging travel, accommodation, meetings, preparing itineraries and drawing attention to matters of priority.
  • Prepare and edit documents such as reports and presentation as well as managing and prioritising Executive Director’s emails, other correspondence, expenses and credit card statements.
  • Work closely with the Executive Director to ensure that Management Board agenda items, reports and minutes are distributed in a timely manner and prepare an action point status report prior to the next meeting. Liaise with the Executive Director and Company Secretary to facilitate Out of Board approvals.  Co-ordinate meeting attendees and dates via the Annual Meetings Schedule.  Carry out quarterly Board audits.
  • Work closely with the Executive Director to gather information for Statutory Board meetings, co-ordinating and saving approved reports and liaising with the PA to Chairman for circulation of documents. Cover for the PA to Chairman for Statutory and Group Boards as required.
  • Minute taking when required ensuring that matters arising from meetings are dealt with by the appropriate person within the agreed timescales.
  • Ensure the Executive Director is prepared for all meetings and events, including providing relevant information and itineraries in advance.
  • Organise internal and external networking events as and when required.
  • Raise purchase orders and process invoices in a timely manner as required.
  • To lead, manage and motivate your team to support the needs of the business ensuring there is adequate resources including recruitment of additional team members, agree scope of works undertake annual appraisals, identify training/development requirements, succession planning, performance/grievance issues.
  • Review and make recommendations to the Managing Director for the annual salary review and discretionary bonus process for your team.
  • Record Management – you will be responsible for filing, both electronically and hard copy Company documentation, liaising with Information and Records team when required.
  • Ensure high standard of document production in accordance with corporate templates across the Group.
  • Work closely with the other business Senior PA’s and PA to Chairman to maintain company standards across all departments and review efficiencies.

Fundamentally contact will be with Directors, Managers and staff within the Group as well as external stakeholders, external customers, government bodies and communities.

The majority of your time will be office based at Head Office. There maybe a requirement for you to travel to other area offices, attend external meetings including exhibitions and attend corporate networking events.

ESSENTIAL:

  • Extensive previous experience in a PA role at Board level
  • Proficient in all Microsoft Office suite packages including Word, Excel, PowerPoint, Outlook and Teams
  • Minute taking
  • Previous line management responsibility
  • Experience working in a fast-paced environment with multiple competing priorities
  • Experience of concise report writing
  • Full driving licence

DESIRABLE:

  • Business administration or management qualification
  • Awareness of Data Protection and General Data Protection Regulations (GDPR) protocols
  • Experience of auditing protocols
  • Ability to handle confidential information with absolute discretion.
  • Professionalism and ability to interact and communicate effectively with internal and external stakeholders at all levels, demonstrating diplomacy, influence and persuasion to achieve a positive outcome.
